| | Learn Who Received the Latest iCON Recognition | |
Each year at IEEE Convene, the iCON Recognition celebrates an event demonstrating excellence in innovation, content curation, community-building, and more! This year, the iCON was presented to the IEEE International Conference on Quantum Computing and Engineering (QCE) 2023, also known as IEEE Quantum Week. The event took place in September 2023 in Bellevue, Washington.
Hausi Müller, General Chair of QCE23, accepted the recognition on behalf of the conference from Bin Zhao, Chair of the IEEE Conferences Nominations, Appointments and Recommendations Committee (CNAR). Also on hand were members of the talented and dedicated event planning team for Quantum Week, including Silvia Ceballos, Laura Perry Edmondson, Carmen Saliba, and Patrick Kellenberger.
The success of IEEE Quantum Week was catalyzed by the leadership of General Chair Hausi Müller and the IEEE Computer Society. QCE23 curated an exceptional program exploring the cutting-edge field of quantum computing and engineering, a non-traditional yet rapidly growing domain within IEEE. The rich and diverse conference program gave attendees invaluable insights and learning opportunities.
The event successfully engaged a wide range of technical communities, including quantum professionals, researchers, educators, entrepreneurs, and enthusiasts from around the world. This strong engagement fostered collaboration, innovation, and knowledge-sharing, positioning the conference as a crucial platform for the future of quantum technologies. Interestingly, this is an example of a conference that started as virtual and then came alive as an in-person event - which may be a first!
Despite being founded only four years ago by the IEEE Future Directions Quantum Initiative, QCE has quickly built an outstanding reputation. The conference has become a cornerstone event in the quantum computing community, known for its high-quality content, exceptional organization, and significant contributions to the field. This rapid rise to prominence is a testament to the dedication and vision of its organizers and event staff.

All photos and videos used throughout IEEE on websites, printed materials, and social accounts must have the proper consents. To help make this easier, the release form for photo, video, and audio has been updated. The updated form can now be used for both adults and minors. | | IEEE Corporate Contract Deadlines: Important 2024 Year-End Dates to Know | |
It is that time again when IEEE Finance begins to close up the fiscal year. As a result, and as part of IEEE’s regular annual process, all contracts that require a signature by 31 December 2024 and subsequent purchase orders (if applicable) must be submitted to the IEEE Legal and Compliance (L&C) Department by no later than Friday, 1 November to meet the deadline.
To allow for the typical pre-work, all event-related contracts should be submitted for review by Wednesday, 23 October.
CEE will make every effort to ensure that contracts submitted on or before this date are shared with the L&C team by their deadline, sent for signature, and then submitted to Strategic Sourcing before the Finance end-of-year processing deadline, to be announced shortly. Contracts submitted after these dates continue to be processed as quickly as possible in the order in which they are received.

Key Dates for Your Action for Contracts Requiring Signature by 31 Dec 2024
-
23 October: Contracts due to the Conference Contracts Team
-
1 November: Legal and Compliance (L&C) Department Deadline for submission
-
To Be Announced: Strategic Sourcing year-end processing deadline
| | | We encourage you to plan ahead and avoid submitting at the deadline, if at all possible. | | Designing for Success at IEEE Convene 2024 | | |
Over 250 participants from more than 30 countries gathered at IEEE Convene 2024 in Waikoloa Village, Hawai’i, from 1 to 2 August 2024. The annual event brings together event leaders, organizers, professional staff, convention and visitors bureaus, hoteliers, and experts to explore challenges, best practices, and innovations in IEEE events.
This year's theme, Designing for Success, enabled participants to explore the essential ingredients of successful event design. Through hands-on experiences and collaboration, participants learned design methodologies that can take our events to new heights and accelerate our One IEEE programs. Hilton Waikoloa Village was an enchanting backdrop for inspiring our community to connect and grow.

Event Takeaways
Designing for Success: The participant journey is at the heart of inspiring engagement. By understanding and addressing participants’ behaviors, feelings, and goals, we can design events that anticipate their needs and exceed their expectations.
Respect for Place: Your host city is a vital contributor to the success of your event. Respecting each location’s unique features and incorporating them into your program can further deepen your connections with the city.
Giving Back: Incorporating micro-giving programs at your event can honor place and advance IEEE’s mission. If each participant contributes even a small amount, it can have a tangible impact. We can help with free and easy implementation.
“Meet at the Mission”: With a bit of imagination, events can help us achieve our strategic objectives and deliver directly on IEEE’s mission. Working together as One IEEE, we can strengthen the impact of our events and make a difference in local host city communities.
Navigating Risks: Risk management is an essential part of organizing an event. IEEE guidelines on data privacy, intellectual property rights, and sensible use of AI can help us mitigate risk and safeguard our events.
Heightening Engagement: Events can engage and inspire IEEE Members at every stage of their careers. Getting Young Professionals involved can keep our events relevant while offering valuable opportunities for mentorship and growth.

This year's IEEE PES General Meeting held from 21–25 July 2024 in Seattle, Washington, used a creative badge design to make their event more sustainable. The organizing committee opted to print additional information on participant badges to reduce the need for signage and printed materials.
The committee worked with Lynn Kijowski, Senior Manager, Event Services Operations, Conferences, Events & Experiences @IEEE, to design the badge. Using the Canva design tool, Lynn incorporated the following information on the back of the badge:
- Wi-Fi access details for the attendee
- Social media handles
- Mobile app information and QR Code
The badges were printed on demand at the event, allowing organizers to make updates if needed. Meeting participants were delighted to have this useful information at their fingertips. The effort also enabled organizers to reduce costs and waste associated with unnecessary printing.
Explore the Sustainable Badge Vendor resource on the CEE website to get more ideas on sustainable badging.
| | Call for 2025 Conference Applications | |
Did you know that IEEE recommends that Organizers and OUs aim to have their conference applications approved 12 months prior to the start of the event? This timeframe is important, as it allows stakeholders the opportunity to review and evaluate applications carefully and gives conferences the benefits that come with IEEE affiliation, including inclusion in the IEEE Conference Search.
As of 9 September 2024, CEE is no longer accepting new applications for 2024 events. If you couldn’t get your application in time, get ahead and submit for 2025! Already submitted a 2025 application but want to check its status? Click here!
