Planning to Succeed

Keep in mind that conference organizers need to work within the agreed-upon policies and procedures for their events. Following these guidelines ensures your event runs smoothly and protects you and IEEE from legal and other risks. 


Important focus areas are financial procedures, proper engagement in the technical program, protection of data, and proper use of the brand, among others.


If an organizer hires a PCO to perform related tasks, the PCO needs to be compliant as well. Failure to meet the agreed-upon standards could have significant consequences for the organizers, IEEE, and associated vendors.


The sponsors of the conference are responsible for oversight as well. Your sponsoring Societies, Councils, Technical Communities, and Sections can offer guidance, issue approvals, and help you understand timelines and best practices.

Call for 2024 Conference Applications

Partnering with IEEE sponsors and submitting your IEEE Conference Application are essential first steps on your conference journey. 


As a reminder of IEEE Policy 10.1.4 General Approvals, Endorsements, & Notification, there are three types of conference actions that must be sought:

  • Organizational Unit approvals from all sponsoring IEEE Organizational Units
  • IEEE Meetings, Conferences & Events (MCE) review and approvals
  • IEEE Organizational Unit cross-endorsement

All approvals and endorsements should be obtained at least a year in advance of the proposed conference.

If applications are submitted less than 12 months before the conference start date, IEEE cannot guarantee that all reviews/approvals will be received before the event.


If you need assistance with your IEEE Conference Application, the MCE team is ready to support you.

Continued Rollout of Sustainable Resources for IEEE Events

The MCE team continues to create and publish resources for the IEEE Conferences Community on the MCE Sustainability Hub.


Sustainability for RFPs and Contracts

Visit the MCE website for IEEE-approved language and questions you can incorporate into any event-based RFP template or sourcing tool. Use IEEE’s Sustainability Clause to convey IEEE’s commitment to sustainability and encourage suppliers to adopt more sustainable practices. 


If you have any questions about adding this content to your RFPs, the Conference Contracts team will gladly assist you. 

Sustainable Vendors for Conference Badging

An eye-catching event badge can promote your brand, facilitate networking, and create community among your participants. However, these name tags and their accompanying lanyards can add up to a lot of waste. The MCE website now features a new resource to help organizers find eco-friendly badging options for their events.

In support of Sustainability, IEEE volunteers, conference organizers, and professional staff across the organization are making strides to combat and mitigate the effects of climate change. The MCE website now features a collection of IEEE resources for the conference community.

Organizer Insights - DE&I and Family-Friendly Conferences

More and more conference participants are combining business trips and personal vacations. The rise of “bleisure travel” presents opportunities to create welcoming conference environments for participants and their families. Watch our interview with Kendra Cook, Senior Systems Engineer at NASA’s Jet Propulsion Laboratory (JPL) and Chair of the 2024 IEEE Aerospace Conference, to learn how this event is enhancing engagement and building community through family-friendly conference experiences.

Meet the MCE Team

Elaine Webb, Conference Administrator, MCE

I joined Meetings, Conferences, and Events in December 2019 as a Conference Administrator. My core job responsibilities are processing conference applications and assisting Conference Organizers with inquiries regarding their events. 


As of November 2023, I have been employed with IEEE for 25 years. My career began in the Member Service Department, now known as the Contact Center, as a Technical Support Associate. I also spent 11 years in Business Data Related Services as a Product Analyst. I have had a few opportunities to attend conferences. The most significant benefit during my time at IEEE has been the people. The collaboration with my coworkers and growing connections with them is an experience I won’t forget.   


When not at work, I enjoy spending time with family and friends and traveling (local day trips, domestic and international). I truly believe and try to live this way. Each day is a gift. If my eyes open, I’ll focus on the new day and all the happy memories I’ve stored away.

NEW – Conference Peer Reviewer Basics Course

Good peer review is an essential element of a quality conference. If you are an old hand at peer review, new to the process, or somewhere in between, there is a new series of peer review essentials learning modules available to help guide you. Each module is less than 15 minutes in length. Individuals completing all modules are eligible to receive a certificate. 



The course is available in the IEEE Center for Leadership Excellence (CLE), along with other conference education courses. CLE is accessed using IEEE Account credentials.


To reach the course, select Conferences and Events from the CLE Home Page. Once logged in, scroll to the bottom of the Conference Education Programs list to Peer Reviewer Basics – Modules.
